Start with volume, not novelty
The best first automation in a CA firm is rarely the most exciting one. It is the task repeated for every client, every month, by people who could be doing review and advisory work instead. These five usually come first.
1. Bank statement entry
Thousands of UPI, NEFT and IMPS lines arrive as PDFs in a different layout for each bank. A good converter reads the statement, checks every running balance against the bank’s own totals, groups transactions by party, and remembers which ledger each party belongs to, so next month’s statement arrives mostly coded.
2. Purchase invoice entry
Supplier invoices come as PDFs and photos. AI can now read them into structured data, including line items, HSN-wise GST, freight and round-off. The safe pattern is to let AI fill the entry, have a person review it beside the original, and only then post it to Tally.
3. GST reconciliation
Matching GSTR-2B against the purchase register is rule-based work that is painful at volume. Automated matching by GSTIN, invoice number, date and tax amount, with near-matches shown for review, produces a supplier-wise list for follow-up in a fraction of the time.
4. Client document collection
A large share of filing delays come from waiting for client documents. A tracker that knows every client’s deadlines and sends WhatsApp checklists and reminders before each one takes the chasing off your staff.
5. Monthly MIS reports
Many firms rebuild the same sales, receivables and profitability reports in Excel for each client every month. Pulling the data straight from Tally into a dashboard, checked against the trial balance, means the report is ready the moment the books are.
What to watch out for
Automation in accounting has to be checkable. Every system should prove its output against a source, such as the bank’s totals, Tally’s trial balance or the original invoice, and send anything uncertain to a review queue instead of guessing. That is what makes partners comfortable relying on it.
Frequently asked questions
Yes, with a review step. AI fills the entry and a person checks it beside the original before posting, and posted entries are locked against double posting.
It depends on the banks and volume involved. A focused tool can be set up quickly, and it gets faster each month as party-to-ledger choices are remembered.
Usually not. Clients keep sending the same documents; the automation changes what happens after they arrive.
