Overview

A steel trading company ran orders, coil stock, truck dispatch, payments and tax filings across phone calls, Excel and Tally. OpsHub follows each order from enquiry to the truck leaving the gate. Each of nine roles sees only their part, and the owner gets a dashboard of sales, collections, overdue customers and bottlenecks.

Before and after

Before
  • Each order passed through about ten hands, with status kept in heads and WhatsApp.
  • Steel sells by weight, and mill and weighbridge weights often disagreed.
  • One bank receipt had to be matched across many invoices, with TDS and credit notes.
  • GST and TDS reconciliations were rebuilt by hand every month.
What I built
  • A ten-step order tracker from enquiry to gate pass, with the next action at each stage.
  • Coil-by-coil stock, cutting instructions, a dispatch board and a weighbridge log.
  • A receipt allocation workbench with oldest-first matching and automatic 194Q TDS.
  • GSTR-1, 2B, 3B and 26AS reconciliation screens and a CEO dashboard.

How it works

  1. 1

    Order

Enquiry, quote and sales order booked against a customer PO.

  2. 2

    Allocate

A mother coil is mapped from stock or bought from the mill.

  3. 3

    Cut & load

Cutting instructions go out; the truck is loaded and weighed.

  4. 4

    Dispatch

Invoice, e-way bill step and gate pass recorded.

  5. 5

    Collect

Payment allocated to invoices with TDS and notes applied.

What it does

Know where every order is

A ten-step lifecycle tracker with a next action at each stage.

Right screen, right person

Nine roles, with margins visible only to senior staff.

Match payments faster

Receipts applied oldest-first with TDS and credit notes handled.

Weight differences caught

Weighbridge tare and gross recorded at the yard.

Every coil tracked

At yard, under process, part consumed, dispatched.

Ready for the tax return

GST and TDS reconciliation screens with GSTR-1 export.

Under the hood

ReactTypeScriptViteTanStack QueryTailwind CSSRechartsDocker + nginx
  • One payment split across many invoices with TDS, notes, part-payments and advances.
  • Role-based visibility that hides margin data from non-senior roles.
  • Indian formats throughout: lakhs and crores, MT and kg, CGST/SGST/IGST and 194Q.
  • Dense data screens kept fast with lazy loading and code splitting.

Outcome

Every order’s status is visible without a phone call.
Payment matching follows one consistent rule.
The owner sees overdue customers and bottlenecks on one screen.
